# Accounts Receivable Recovery: How It Works

> Collect unpaid invoices and recover failed payments with follow-up in your name. We count confirmed payments only and send disputes to your team.

**Follow up on past-due accounts in your name, before write-off.**

We contact your past-due customers in your name, explain the balance, send a link to pay and route disputes to your team. After launch, our team keeps running it.

No monthly fee. No implementation fee. You only pay for what we recover: our recovery fee, plus AI usage costs paid up front.

For creditors with $100,000 or more in past-due balances each month.

## From account selection to cleared payment

1. **Choose the accounts**: We agree which balances we work, which we leave out and when each goes back to your process.
2. **Connect your systems**: We work from your current balances, disputes and payments.
3. **Follow up in your name**: Calls, texts and emails in the wording you approved. We answer routine questions and explain the payment options.
4. **Hand off the hard ones**: Disputes, hardship and sensitive questions go to your team with the full history. If no one can take the call, we set up a callback.
5. **Count only what clears**: A payment counts once your payment system confirms it. Promises and plans are reported separately, and we go through the results with you.

## Who does what

- **Sympana**: We build and run the agreed workflow, review calls, look into anything that goes wrong and test improvements.
- **Agreed together**: Which accounts we work, contact rules, update timing, how payments are counted, escalation routes and reporting.
- **Your team**: You approve the wording and payment options, give us account and payment access, and handle the cases that need a person.

## You set the rules before the first call goes out

- **Your wording.** You approve the wording, payment options and contact rules before launch.
- **Disputes pause follow-up.** We don’t keep asking for payment while a question is open.
- **Your payment system is the record.** A payment counts only when your payment system confirms it. Promises don’t count.

## Know what got paid

Your report reads like a statement. It starts with the payments your payment system confirmed on the accounts we agreed to work. Promises are listed but never counted, and refunds and reversals come off the total.

A sample statement shows: each account we worked, with its amount and status; cleared payments; promises to pay (not counted); refunds and reversals; recovery fee, as agreed; aI usage, paid up front.

Our recovery fee applies only to cleared payments. AI usage costs are paid up front and shown on their own line in every report.

## Call review and fixes after launch

We review conversations and outcomes in batches, find what keeps going wrong and test fixes. That can mean tone, timing, instructions, follow-up or system reliability. Every change stays within the rules you’ve approved.

## Still unpaid at the agreed point?

At the agreed point, anything still unpaid goes back to your normal process. Introductions to an agency, a debt buyer or an attorney are optional. You choose what happens next. If you’d like an introduction, we can help you look at the options.

## Frequently asked questions

### What does it cost?

You only pay for what we recover. No monthly fee and no implementation fee: just our recovery fee on cleared payments, plus AI usage costs paid up front. We agree both before launch.

### Do we keep control of our brand and customers?

Yes. Outreach uses your company’s name and approved wording. You set the payment options, the contact rules and what goes to your team.

### How do you know someone has paid?

A payment counts once it clears in your payment system. A promise, a clicked link or a good call is not proof of payment.

### What if someone disputes the balance or says they already paid?

Follow-up pauses and the account goes to your team for review. We don’t keep asking for payment while the question is open.

### Can we keep our current systems?

Yes. We review what you use today, then connect through an API or a reliable export, scoped to your account and payment data.
